Is Your Data Even Ready for AI?

by Simon Foulds

In today’s digital-first construction landscape, the promise of artificial intelligence (AI) is everywhere — from predictive project planning to automated compliance checks. But there’s a critical question every construction company should ask before embracing AI: Is your data ready for it?

At Build in Digital’s recent Micro Conference, Pavlina Nikolova, AEC Practice Lead for EMEA at Egnyte, delivered a powerful message: “Bring AI to your data — not your data to AI.” But to do that effectively, you need something many firms overlook — clean, well-structured, secure, and governed data.

Construction firms are becoming data companies

The construction industry is generating more data than ever before. With the adoption of Building Information Modeling (BIM), drone data, cloud migrations, and integrated software tools, every project leaves a massive digital footprint. Add to that the UK’s requirement to retain data for six years, and suddenly, construction firms are managing data volumes more akin to tech giants.

But raw volume isn’t the problem. The real issue is data readiness.

The hidden risk: ROT data (Redundant, Outdated, Trivial)

The digital transformation has come with unintended baggage. Disconnected data repositories, multiple versions of the same document, inconsistent metadata, and unstructured naming conventions can create chaos. This is made worse when companies don’t even know how much of their data is active, useful, or — frankly — even needed.

The result? ROT: Redundant, Outdated, and Trivial data. And ROT data doesn’t just slow down your AI adoption — it introduces risk, from compliance violations to inaccurate insights.

Start with data governance, not AI

The path to AI maturity doesn’t begin with the latest tools or platforms. It begins with governance. As Nikolova highlighted, data governance is not just an IT issue — it’s a business imperative.

Establishing a governance-first approach involves:

  • Defining data ownership
  • Standardising metadata and file structures
  • Implementing a RAD policy (Retention, Archiving, Deletion)
  • Auditing where and how data is stored

Governance gives you the confidence to expose your data to AI — and the protection you need to do it responsibly.

Secure, accessible data is the foundation of AI

Before AI tools can be integrated, you must ensure your data environment is secure, structured, and segmented appropriately. Key considerations include:

  • Are sensitive folders excluded from AI scope?
  • How is access permission managed across users and systems?
  • Can you guarantee your AI vendor isn’t logging, copying, or sharing your data without consent?
  • Are your outputs traceable and verifiable?

This is especially critical when dealing with regulated data under BSA, GDPR, or PDPL frameworks.

AI success demands actionable, searchable data

Research shows that construction professionals spend over 11.5 hours a week simply searching for and analysing data. That’s time lost — and a sign of poor data hygiene.

AI should change that. But only if your content is AI-ready.

To enable AI-powered Q&A systems or smart search functions, you need:

  • A scoped, structured knowledge base
  • Tagging and metadata that describe content, not just file paths
  • Systems that can return precise summaries with source excerpts

The power of smart tagging: managing data by what it is

AI doesn’t just help you find documents — it helps you understand them, which is why smart tagging is important for content management:

  • Classify documents by type, topic, or confidentiality level
  • Automatically tag images based on objects detected or location metadata
  • Segregate project data by sensitivity, lifecycle stage, or geography

This doesn’t just enhance search — it streamlines compliance, improves collaboration, and empowers automation.

The 5W framework for data management

At its core, preparing your data for AI means being able to answer the five essential questions:

  1. Who has access to your data?
  2. What is in your data?
  3. When was it last updated?
  4. Where is it stored?
  5. Why are you keeping it?

If you can’t answer these questions today, your AI tomorrow may be built on shaky ground.

Get ahead of data chaos — before AI highlights it

AI can transform how construction firms plan, build, and manage — but it’s not a silver bullet. Without robust data foundations, AI tools may give inaccurate insights, expose sensitive information, or simply fail to deliver value.

As Pavlina Nikolova aptly noted: Bring AI to your data — but make sure your data is ready to receive it.

That means:

  • Taking control of your digital assets
  • Streamlining your data architecture
  • Building a governance mindset across the organisation

In short: before you chase AI’s potential, conquer your data reality.
